Personal construction project support across Africa
Your personal project assistant in WhatsApp and email. Find what was agreed, understand what needs your attention, and prepare your next step from the project records you share. Your Project Assistant (YPA) welcomes pilot enquiries from South Africa, Uganda, Kenya, Tanzania, Rwanda, Mozambique, Ghana and Nigeria, and from professionals and builders elsewhere in Africa.
Construction project management, without another daily dashboard
If you are looking for construction project management software, start with the work you need help with. A programme plans the sequence. An accounting system records transactions. YPA's pilot is focused on the information between them: the certificate in an email, the instruction in meeting minutes, the unanswered drawing query and the next decision.
Forward records you choose to share. Ask a project question in WhatsApp or email. YPA brings the relevant information together, links answers to their source and prepares follow-up drafts for you to check and send. An agreed weekly report brings together the position relevant to your role, for you and any authorised recipients you choose.
This is support for the people driving the job: contractors, principal agents, project managers, construction managers, quantity surveyors, architects, engineers and developer teams. Your role, represented company and access are agreed at setup. Your appointed professionals remain responsible for approvals and decisions.
Personal support, with collaboration you control
Start on your own or include collaborators from the outset. Agree broad access and standing copies for a trusted colleague, or a narrower set of records for a builder. Each participant has a private conversation for questions and unshared drafts. We confirm each person’s project access, report recipients and human support arrangements before connection, and help you change them when needed. See how sharing works.
Choose the construction records you need to control
Start with one question and use the record areas relevant to your work. The eight guides below connect everyday construction questions to their evidence, with illustrative registers and practical next steps.
- Variation orders and site instructions — Track construction variations, change requests, agreed scope, pricing and approval status. Keep an instruction separate from an approved valuation.
- RFIs and construction document control — Track requests for information, outstanding drawings, design queries, responsible people and reply dates. Find the source behind a decision.
- Construction procurement and material delivery tracking — Connect purchase decisions, supplier lead times, orders and promised deliveries to when the project needs them.
- Payment certificates, progress payments and retention — See what was applied for, what was certified and what is recorded as paid. Keep retention and supporting payment evidence visible.
- Construction notices and contract deadlines — Keep the event, required date and supporting record together for the responsible person's review. Confirm requirements against the actual contract.
- Supplier invoices and subcontractor payment tracking — Review outstanding bills, due dates, queries and payment evidence. The project view supports your accounting process.
- Handover certificates and completion records — Keep required inspections, documents and outstanding sign-offs visible before handover.
- Site meeting minutes and action tracking — Find what was agreed, who is responsible, when the answer is due and which meeting record supports it.
South Africa, Uganda, Kenya, Tanzania, Rwanda, Mozambique, Ghana and Nigeria
Whether your project is in South Africa, Uganda, Kenya, Tanzania or Rwanda, the useful starting point is the same: your records and the question you need answered. Pilot enquiries are welcome from these countries and elsewhere. We confirm whether your project is a fit, the available start date and the support scope before you connect.
Make the project context clear
Tell us the country, project location, company you represent and your role. Identify the currency and reporting period on financial records, the project names used by different parties and the people authorised to receive answers. If you work across borders or companies, keep those scopes explicit rather than treating all records as one project.
Use your own contract and records
The payment dates, retention conditions, notice requirements and approval responsibilities come from your project's agreements and confirmed instructions. The South African rand figures in the example guides are illustrative; they are not prices for YPA or a promise that another project's terms are the same. Missing information stays visible for review.
Bring what you already have
Useful starting records include your signed contract or accepted quote, a recent payment certificate, meeting minutes, an open RFI list, current drawings and a procurement register. You do not need to complete eight new spreadsheets before an enquiry. Once a pilot place is agreed, a person helps you connect and chooses the first useful records with you.
Ask about a YPA pilot for your project
Tell us the project country and one practical question: which variations still need pricing, which information requests are overdue, what has been certified but not paid, or what decision is holding up a delivery. Do not send project documents with your first enquiry.
YPA is preparing its first pilot. An enquiry starts a conversation; it does not create an instant account or guarantee a place. Selected pilots are free for an agreed period, with scope and support confirmed before setup and any future price shown before billing.
One project. One question. Start there.
Keep working in the tools and channels you already use.
Different appointments, useful records. We agree the records and sharing appropriate to each person’s role, including their private engagement; not every participant needs all eight areas. Explore YPA for principal agents, project managers, QSs and project teams.
