How this helps a contractor
For a contractor, this shows the missing drawing, detail or decision, who appears able to answer, the required date and the work being held up. Designers, principal agents or project managers may join as invited collaborators where their response is needed; YPA does not transfer their appointment or authority.
Start with the contractor’s project question and the records already available. Each participant’s private questions and drafts remain separate from shared project records. What YPA does
- Records the question you share — Share an issued request, or ask YPA to prepare one from a drawing reference or note. An issued request is linked to its source, answer owner and required-by date. A private question or draft stays separate until you choose to issue or share it.
- Shows what is still waiting — Ask which questions are open, overdue or awaiting a particular consultant. A missing due date is marked for confirmation.
- Links the question to the work — Share the activity or lookahead that depends on the answer. YPA shows the stated connection and flags the decision needed; it needs programme evidence before claiming a delay to project completion.
- Keeps the response with the question — A clear response is linked to the original request and the current drawing. Partial, contradictory or uncertain answers come back for your review before closure.
- Drafts a useful follow-up — YPA prepares a message with the request number, date, missing detail and affected work. Review and send it to the person responsible.
- Brings the important items forward — Your weekly email summarises outstanding answers. Material approaching dates can trigger an alert, and the complete trail is available on demand in WhatsApp or email.
Start with what you have. Share current drawings and specifications, the questions already issued, replies, responsible contacts and the dates the work needs an answer. A programme or short lookahead helps connect unanswered questions to the work.
YPA creates and maintains the sheet from your records. Its entries are marked system-generated, yours to verify. Review and edit at any time. Drafts come to you; you check and send them yourself.
How it actually runs
- Record the question and the exact drawing or specification it refers to.
- Identify who should answer and when the answer is needed.
- Retain the reply and check whether it resolves the actual question.
- Keep the dated history alongside progress records if the delay later needs assessment.
Where it usually goes wrong
- The question is asked verbally and never reaches a dated record.
- An answer arrives for an old revision or resolves only part of the question.
- Nobody identifies the activity waiting for the answer.
- The record of a late answer is mistaken for proof of contractual entitlement.
