Materials arrive late on almost every job — usually because the order date was never written down, not because the supplier is bad. A team standing because steel or windows haven't landed costs you more than the material ever did, and the delay lands on your programme and your margin.

What YPA does

• Reads the required-on-site dates out of your programme and emails and works each order backwards — delivery, lead time, freight — to the date the order must actually go in.
• Puts every long-lead package on the schedule with a latest order date and an owner, so ordering doesn't depend on anyone remembering.
• Tells you each morning what must be ordered this week and flags anything already past its order date — before the ETA slips, not when the team's waiting.
• Watches supplier ETAs — when a delivery date moves, it updates the schedule and says what that means for the site date, while you still have time to switch supplier, chase it or re-sequence the work.
• Keeps the PO trail — order dates, numbers, prices — so when a delivery is late, the delay and its cost are provable, and the conversation is with evidence, not memory.

Why materials arrive late

Almost never because the supplier is bad. Usually because the order went in late, or nobody tracked it, or the required-on-site date was never written down in the first place.

On most jobs, ordering happens when someone remembers — not when the programme needs it. The result is the same: the team finishes early, the material isn't there, and the delay lands on you.

Plan backwards from the site date

Every material has a required-on-site date — the day the team actually needs it. From there you work backwards:

• Required on site — the date the team will pour, fix, install or build with it.
• Delivery time — how long the supplier needs to deliver, plus freight and border time.
• Manufacturing / lead time — for made-to-order items: steel fabrication, joinery, glazing, imported goods.
• Order date — the date the order must go in. This is the number most contractors never write down.

The order date is the number that matters. If you only track the required-on-site date, you find out about the delay the same day the team does.

Every item goes onto the YPA Procurement Schedule — one row per package, planned backwards from the required-on-site date. This is the actual sheet format YPA generates (filled with example rows):

The tender you can't win

Procurement has a second, quieter trap: the paperwork that decides whether you're even allowed to price the work. On public-sector projects your cidb status is checked before the tender is read:

• Grade — cidb grades run 1–9 by class of works and capability. Don't tender above yours unless a valid exception applies.
• Annual update — registration runs three years but needs an update every year. An expired update is the silent disqualifier.
• Tax compliance and track record — a lapse in either takes you out before the tender is opened.

The sting is finding out after you've spent the time and money pricing it. YPA keeps these dates — grade, expiry, tax status — on your file and tells you before one lapses, so you're never disqualified by paperwork you could have fixed.

What to do about it

• Write the latest order date down for every long-lead item — the moment you know when it's needed on site, the clock starts.
• Chase by the schedule, not the memory — when an ETA slips, act the same week, not the day the team runs out.
• Check your cidb and tax status before you price, not after — a five-minute check that decides whether the tender is yours to win.
